How to Source School Leavers Hoodies for 2026

A leavers’ hoodie order can look straightforward until the spreadsheet starts filling up. Different sizes, surname spellings, colour preferences, artwork approvals and a fixed end-of-term deadline all need managing at once. Knowing how to source school leavers hoodies properly means setting the specification before collecting payments or requesting prices. It prevents costly changes late in production and gives every pupil a hoodie they will actually want to wear.

Start with the order requirements

Before choosing a hoodie, confirm who is responsible for the order and how decisions will be approved. This may be a member of school staff, the PTA, a sixth-form committee or a parent-led group. One named contact should gather information, approve artwork and confirm the final quantities with the supplier.

Set a target delivery date first, then work backwards. Allow time for collecting pupil details, checking spelling, producing artwork, approving a visual proof and manufacturing the garments. A leavers’ event, final day or school trip should not be treated as the production deadline. Build in a sensible buffer for final size changes and distribution.

It also helps to agree the budget early. The lowest garment price is not always the lowest completed cost. Choose a hoodie suitable for leavers’ wear

School leavers hoodies are usually kept long after the final term, so comfort and durability matter. Decide what each hoodie includes

The back design is often the focal point. It may feature a large leaving year, a school name, a graphic and a list of pupils’ names. Decide whether names will be printed in a standard list, arranged within numbers, or omitted altogether. Detailed name layouts can look effective, but every late change can require artwork amends and hold up approval.

Collect sizes, names and permissions accurately

The order form should collect one set of information in a consistent format: pupil name, required printed name, hoodie size, garment colour if there is a choice, and payment status. Avoid accepting details through several channels. Email replies, handwritten notes and social media messages create duplicates and spelling errors.

Set a firm cut-off date for information and payment. After that date, changes should only be accepted if they do not affect the confirmed production schedule. This may feel strict, but it is fairer to the group than delaying every hoodie because one detail arrived late.

Name approval deserves particular care. Ask pupils to submit exactly how they want their name printed, then send a final list for checking. Screen printing is often cost-effective for one consistent design across a larger run, while transfer printing can be useful for detailed artwork and variable individual names. The most appropriate decoration method depends on the artwork, order quantity and required finish.

Always request and approve a visual proof before production starts. Check the garment colour, print positions, spelling, dates, school name, pupil list and the scale of the design. Do not rely on a verbal description or an old version of the artwork. The approved proof should be treated as the final production instruction.

Avoid approval delays

A single approval route keeps the process moving. The organiser can gather feedback internally, but only one person should send consolidated changes to the supplier. Sending separate comments from staff, pupils and parents makes it difficult to establish which version is final.

Read the proof at normal viewing size as well as zoomed in. A packed list of names may be technically correct but difficult to read from a distance. If the design is too crowded, consider using first names only, reducing supporting graphics or moving some information to the sleeve rather than shrinking the text further.

Compare quotations on the finished order cost

When sourcing school leavers hoodies, compare like for like. A quotation for a plain hoodie with one small front print is not comparable with one that includes a large back design, individual names and delivery. Ask suppliers to show the garment type, colour, size range, decoration locations, number of print colours, set-up charges, VAT and estimated lead time.

Quantity breaks are worth checking. Increasing the order by a small number may reduce the per-unit price, but only order extras if there is a realistic use for them. Spare hoodies can cover late joiners, incorrect sizes or staff purchases, although personalised garments cannot usually be reassigned easily.
